Terms of Service
Last updated October 16, 2026
These terms are an agreement between USCore LLC (“we”) and the association that signs up for Fairhall, and they also apply to everyone who signs in to it: board members, managers, owners, residents, staff and vendors.
1. Who can sign up an association
The person who signs up an association confirms that the board has authorized them to do so, and that the information they give about the association is accurate. The association is responsible for who it invites and what roles it gives them.
2. Accounts
Keep your sign-in secure and use your own account only. Board members and managers must use two-factor authentication. Tell us right away at [email protected] if you think someone else has used your account.
3. The association’s records
The association owns what it and its members put into Fairhall. We use those records only to provide the service, as our Privacy Policy describes. The association can export its records at any time, including after it decides to leave.
4. Acceptable use
- No unlawful, harassing or deceptive content, and no content you don’t have the right to share.
- No attempts to access other associations’ information, to probe or overload the service, or to send spam.
- Messages to owners and residents must follow the law, including consent rules for text messages.
5. Plans, trial and billing
New associations get a 30-day free trial. If no plan is chosen by its end, the association’s website and owner area stay available and everything else pauses, with nothing deleted, until a plan is chosen. The plan the association chooses is billed monthly or yearly in advance at the price shown in its settings, based on its plan and number of units. Yearly billing includes 2 months free. Moving to a smaller plan hides features without deleting records. The association can cancel at any time; the plan runs to the end of the paid period and is not refunded for partial periods.
6. Payments to the association
When owners pay dues or fees online, the payment goes to the association’s own Stripe account, and the association is the merchant. Stripe’s terms apply to that account. Processing fees are shown before anyone pays. We are not a party to the payment and do not hold the association’s money.
7. Maintenance crews
“Send a crew” passes a maintenance request to Chicago Building Services. Chicago Building Services is an affiliated company. The work, its price and its warranty are between the association and Chicago Building Services. Associations are free to use any contractor.
8. Text messages
Fairhall sends association notices by text only to people who turned texts on. Message frequency varies. Message and data rates may apply. Reply STOP to stop, or HELP for help. Carriers are not liable for delayed or undelivered messages.
9. Not legal, financial or professional advice
Fairhall helps associations organize the records, notices and deadlines Illinois law requires, including under HB 5449, but it is not a lawyer, accountant or licensed community association manager. The association remains responsible for its own compliance and decisions. AI-generated drafts and answers can be wrong; review them before relying on them.
10. Availability and changes
We work to keep Fairhall available and your records safe, and we back them up nightly. We may improve or change features; if a change takes away something an association relies on, we will tell it in advance.
11. Ending the service
The association may stop at any time. We may suspend or end an account that breaks these terms or doesn’t pay, after notice where we reasonably can. Either way, the association can export its records first.
12. Warranties and liability
The service is provided “as is” to the extent the law allows. Neither side is liable for indirect or consequential damages. Our total liability for any claim is limited to what the association paid us in the 12 months before the claim.
13. General
Illinois law governs these terms. If we change them in a way that matters, we will tell associations in the app or by email before the change takes effect. Contact: USCore LLC, [email protected].
